Cancellation Policy

Last updated: 04/11/2026

At Travel With Susmita, we understand that plans can change. This page explains how cancellation requests and refunds are handled for tours booked through us.

Each tour has its own cancellation schedule, which may vary according to its destination, duration, travel dates, suppliers, and arrangements already made. Please read the tour-specific Cancellation Policy shown on the relevant tour page before booking. If that policy differs from the general information on this page, the tour-specific policy will apply to that booking.

How to cancel a booking

Please submit your cancellation request in writing to travelwithsusmita(@)gmail.com. We will use the date we receive your written request to determine the applicable cancellation period. A request is not treated as cancelled until we confirm receipt in writing.

The lead traveller should include the booking reference, tour name, departure date, and the names of the travellers to be cancelled.

Cancellation charges

The cancellation charges and time periods for each tour are shown in that tour’s specific policy. Charges are generally calculated as a percentage of the total tour price and may increase as the departure date approaches.

The applicable percentage and any administrative fee will be stated on the tour page before you complete your booking. An administrative fee may vary between tours depending on the work involved in arranging and cancelling the trip. Any fee should be disclosed for that tour before booking.

Where permitted by the applicable terms, cancellation charges may also include non-refundable amounts already paid or committed to airlines, accommodation providers, transport operators, guides, activity providers, or other suppliers. We will calculate any eligible refund manually and communicate the calculation to the lead traveller.

Bookings made close to departure

Some tours require full payment when booked within a specified period before departure. The applicable payment deadline will be shown during booking or confirmed in writing.

If you book within a cancellation period that carries a higher cancellation charge, the cancellation charge applicable to that period will apply from the time your booking is confirmed. Earlier cancellation periods that have already passed will not apply. For example, a booking made 45 days before departure will not qualify for a cancellation rate that applies only to cancellations made more than 60 or 90 days before departure.

If the tour-specific policy states that the cancellation charge is 100% of the tour price for cancellations made within a particular period, a cancellation in that period will not normally qualify for a refund, except where required by applicable law or expressly stated in writing by Travel With Susmita.

No-shows, late arrival, and leaving a tour early

Unless the tour-specific policy says otherwise:

  • A no-show, failure to join the tour at the stated meeting point, or failure to provide required travel documents may be treated as a cancellation and may result in a 100% cancellation charge.
  • If you arrive late and miss part or all of the tour, no refund will normally be due for the missed services.
  • If you leave a tour after it has begun, or choose not to use any included service, no refund will normally be due for the unused portion.

Changes to a booking

Requests to change a traveller’s name, travel date, itinerary, or other booking details must be made in writing and are subject to availability and supplier approval. Changes may result in additional costs, supplier fees, or a revised tour price. A requested change may be treated as a cancellation if the suppliers cannot accommodate it or if the tour-specific policy says so.

If Travel With Susmita changes or cancels a tour

If Travel With Susmita needs to make a significant change to a tour or cancel it, we will notify the lead traveller and explain the available options. These may include accepting the change, choosing an alternative arrangement, or receiving a refund where applicable under the tour-specific terms and applicable law.

Events beyond reasonable control

Events such as severe weather, natural disasters, government restrictions, political unrest, strikes, or other circumstances beyond reasonable control may affect a tour. We will assess the situation and communicate any practical alternatives or changes. Amounts recoverable from suppliers, and any non-recoverable costs, may affect the refund available. The tour-specific policy and applicable law will govern the outcome.

Refunds

Any refund due will be calculated after applying the relevant tour-specific cancellation charges, disclosed administrative fee, and applicable non-refundable supplier costs. We will provide the lead traveller with the calculation in writing. Once approved, refunds will be returned using the original payment method where possible. Processing times may depend on banks, payment providers, and suppliers.
